March 2016 Business Meeting Minutes

  • Officer reports 
    • Seneschal - Roana stepping in in Piper's absence
      • Piper wants Eve/Ursul to be his deputy seneschal, and she is willing
      • Q: would that affect her ability to serve on the baronial committee?
        • A: Discussion: It might be a conflict if Piper needs to step down as seneschal and we lose a committee member, but Master Rory says it wouldn't be a problem. No conflict from his perspective.
        • Ursul says: If there's a conflict, she would rather be deputy. 
        • Vote: Ursul is now deputy! 
    • Exchequer - Oswyn
      • We have $1,093.39 in RSO account
      • $2,855.67 / Working balance of $2,620.32 total
      • a couple outstanding checks and a deposit for McKinley for next year's Maidens 
    • Martial - Keg 
      • Great practice March 6! 48 people fighting, more in attendance. Some from Chicago, Bloomington
      • 14 authorized fighters and another 7-8 ready to authorize 
      • Practice in alternating weeks with Baile na Scolairi. This upcoming Sunday will be in Baile.
      • Fighters are welcome to come to sewing nights and get help making gambesons & such!

        • And we've had 3 local folks new to the Shire showing up to practices, along with myself, my wife, and Arioch. We've had a total of 3 folks drop in as a product of the Meetup advert, as well.
        • (Roana): We also have a number of rapier fighters from St. Carol on the Moor happy to join practices. Some talk about having some practices closer to them, too. 
    • A&S - Elisabetha
      • We are still having sewing nights at Sean and Becky's (1st Monday) and Makerspace (3rd Monday)
      • Who has taught classes since January 1st--other than Maidens?? If Verena has info on Maidens, do I need to report it? RMOAS: YES, PLEASE!!
        • Roana taught 2 classes at Scribin'....Liz is jotting this down. Golden Ratio (13 people) and Brewing Beyond Basics (7 people)
        • Hrefna: Younger Futhark: Writing like a Viking (13 people)
        • Lynette: day after Maidens had 40-50 people for mead/sake/coffee/etc.
        • Genevieve taught pattern drafting at January A&S (2 1/2 [Lynette had other obligations halfway through]) 
        • Oswyn: Rum & Strawberries (10)  
      • Many thanks to Kendrick who has stepped up as Deputy MOAS, future MOAS. Forms and info for MOAS quarterly report needed.
      • No one showed up to February A&S, and I had to babysit the room while I was sick too, grrr! 
      • Roana is teaching leather bottle making at this month's A&S. Up to 20 can join.
      • Lynette: dye tent coordinator for A&S 50 event -- if anyone wants to join, let her know. 
    • Pursuivant - Bran: No activity!

      • The Meetup folks now charge twice a year. Regular months are $10 and higher tier is $15-16/month. They charge in 6-month increments.
      • It's been successful so far, everyone comes whenever she enters something for it. Wants to get other groups in Central Midlands to join in and share the costs so it's more affordable and useful for all involved.
      • Once we get 50 people, no more can join.
      • Suggestion to postpone this conversation until next month and we can get more involvement from others, see how other groups feel.

      • Explanation of what happened in February re: crown tourney reservations. 
        • What happened: they enforced the rules and made us fill our RSO offices with students. Blame the IL budget crisis!
        • The rules changed sometime AFTER we formed the RSO. The RSO office can't tell who's a student and who isn't, but the Union staff can, for some inexplicable reason.
        • Now: All 5 RSO officers MUST be full-time students. We have Liz/Elizabetha, Zoey (now treasurer), Nigel, Max, and Jen.
      • We need to seriously consider who we are as an RSO going forward because we are likely to continue facing intense scrutiny in terms of using UIUC space without paying fees. 
        • ROs: Registered organizations for faculty and staff. If we to this, we wouldn't be eligible for free space reservations, but we might be able to get a discount. We don't know how much of a discount. In 2009, it was $1,000. If that figure hasn't changed, we could still have Maidens and just charge a little more per site fee.
        • RSOs: we can use space for free, but it has to benefit students. And all officers must be full-time students.
        • If we have 50% or more of fac/staff than students, we need to be an RO. The opposite is likewise. The university doesn't have a contingency for students, faculty, and staff all wanting to hang out together because CREEPY TREEHOUSE SYNDROME BAAAAD. 
      • Maidens and Crown Reservations are approved--but if we change status, we will have to pay for them.
      • What frequency and type of meetings do we want to hold at the Union as we move forward either as an RSO/RO or a barony? Room sizes? 
        • Liz suggests: we should try to be a legitimate RSO, but it will take more cohesive outreach between A&S and martial sides to bring everyone together. We've done some great community recruiting, though we need STUDENTS.
        • Genevieve: In case we get scrutinized, we need to write a check within a week to the RSO after our event. If money passes hands within the building, it needs to go into the RSO account.
        • Roana: We hadn't been giving the RSO all of our earnings from Maidens because if the RSO folds, the university absorbs all of our RSO account money.
        • Bran: We've got a lot of other stuff to talk about tonight. Can we table this for next month?
        • Liz: Yes, but since I'm leaving the country in June, we need to have a decision before then.
        • Roana: Going forward, we'll be including St. Carol folk in our decisions, so that may change the game for this discussion.
        • Discussion on hold! 
      • Lynette RSO recruiting stuff: Will discussion with Liz before the next meeting. 
  • New Business 
    • Roana has found a lodge outside by Lake of the Woods near Mahomet with camping space and commercial kitchen that we could reserve for $240 ballpark figure. NOT a replacement for Maidens, but possibly other events.  
  • Old Business 
    •  Middle Kingdom Academy of Defense - Manteno, IL, September 9-11 
      • Roana has some ideas going. Contact her if interested. Thinking of an artisan's row concept.  
    • Fall Crown Tournament bid
      • Oswyn looking for volunteers to fill cleanup (Lynette), merchant liaison (Ursul), and royalty liaison (Genevieve) 
      • Vote on the bid next month when it's a joint meeting with St. Carol Folks
      • Union has ok'ed the date
      • Liz: We should try to be an RSO for at least one more year if possible because of Crown and Maidens. 
      • Oswyn has NOT included a feast for his bid. We'd need a volunteer and a space to have it.
