2016 February Meeting Minutes

Maidens pre-meeting

  • 375 attendees!
  • $500 profit (would've been $150 more without insurance issues)
  •  RUM was a good idea but didn't necessarily bring in more people - would've needed to bring in about 50 more people to be intrinsically profitable
  • Fencing - 82 (!) combatants - bigger than a Pennsic tournament (yay!) We're officially one of the biggest rapier tournaments in the Known World. About $1000 was raised for 50 year scholarships.
  • 56 (!) heavy fighters!
  • Noted that next year's Maidens will be the weekend after Twelfth Night, and not to expect as many in attendance. 
  • Discussion of lessons learned and ideas for next year.

  • Exchequer - Oswyn
    • Maidens summary - $500ish in profit
    • Main account - $3865.05 balance, $3077.45 working, RSO balance - $1086.39 
    • St Carol Exchequer report -  $3,044 balance
  • Martial - Keg 
    • Weekly here or in Baile, hoping to add Charleston soon
    • 13 authorized, 6 more soon, 19 authorized at that point 
    • Fencers - Ursus - Wanting to hold fencing practices, possibly adjacent to the heavy fighting practice. More communication with Keg planned so that people can choose to both fence and heavy fight if desired.
    • Loaner gear - we're good on everything but gorgets and gloves; he'll get some metal and work on gorgets
    • Fencers - Juliana - Also wants to hold fencing practices on Sundays, also interested in joining the marshal rotation.  
  • A&S - Elisabetha
    • We are still having sewing nights at Sean and Becky's (1st Monday) and Makerspace (3rd Monday)
    • Liz: Who has taught classes since January 1st--other than Maidens?? Can someone from the Maiden's staff get me a run down of classes and attendance for Maidens so I can include it in the MOAS report?
      • Discussion at meeting:  Verena can provide a list of the at-Maidens classes
    • Many thanks to Kendrick who has stepped up as Deputy MOAS, future MOAS.

  • Pursuivant - Bran
    • Change of officer support submitted 
  • Chatelaine - Lynette
    • Motion from Bran to approve $85 expenditure aside from the usual chatelaine budget to try 1 year of Meetup and see whether it has positive results. Voted yes. 
      • Roster of places to create announcements of events: Google Calendar, Activities Board, Facebook group events, and Meetup.
      • (Man I wish there was a good way to make multi-channel event info broadcast easier.) 
    • Talk to Sean about what the cost would be to get a couple hundred business cards created for chatelaine handing-out purposes.
    • Brew day, lots of non-SCA attendees; several want more info.
    • Makerspace was impressed (and startled) by the brew day size and would like more co-hosted workshops; they offered additional help in terms of staffing and teaching.
    • The church was fantastic for class session holding, especially given the professional kitchen and 6 burner stove adjacent to a big room with a big white wall for projections. For any workshops with fees that could cover the $50 site rental cost, it's worth serious consideration. (Less worth it for non-fee workshops.)
  • Webminister - Sofya
    • Kari made a header image for the website, next step would be implementing.
    • St Carol on the Moor's URL was cancelled in order to save the fees and credit card hassle. 
  • Chronicler - Roana
    • Wyvern's Watch - Newsletter needs a new name
    • Publication will be end of March 
  • RSO Business - Elisabetha 
    • RSO info/business page can be found here.
    • Still looking for someone to take on this role when I leave in May/June. Is Dena still a maybe? (ETA: Dena's still a maybe.)
    • The Maidens 2017 space request for Jan-20-22 has been sent in.
    • Do we want to cancel all further business meetings at the Union? (Not directly discussed - may tie into a teleconferencing option?)
    • Do we want to change our A&S reservation permanently reflecting higher attendance? (Not discussed)
    • Discussed: Do we want to try some two-site or dial-in teleconferencing options to allow far-flung attendance with less driving time? The U of I has a lot of good conference rooms with cameras; if there's a location in Charleston or a member's house, might be worth testing. Dena is looking for volunteers for some tech tests.

 

  • New Business
    • Middle Kingdom Academy of Defense - Possible opportunity to do our A&S event in conjunction with this event in Manteno, IL, September 9-11. Motion to do this: Voted Yes.
      • Camping event at wet site with cabins
      • Kitchen and shelter available
      • Indoor/Outdoor space 
      • Established event that we would only need to organize the A&S activities; Ravenslake would take care of the rest
    • Any interest in a possible bid for Fall Crown Tournament AS 51? 
      • Discussed, but no motions made.

Moved to create the "Rory, seneschal and 2 members from each group" committee, voted yes

Moved to create Creo mailing list, voted yes. (Anne took the role of setting it up.)

Moved that committee allows others to attend, speaking at discretion of committee - voted yes 

Moved that the next whole-group joint baronial discussion meeting be in April on the 2nd Monday meeting - voted yes

Moved that the committee will work on name winnowing after the name list is generated - voted yes

Moved that combined-group names can be submitted until April 1 - voted yes

  • Dates:
    • March 1 - cutoff date for submitting nominations for committee members
    • March 7 - the list of nominees to the committee will be presented
    • March 14 - the list of nominees will be voted on (if there are more than 2)
    • April 1 - Last day to submit a group name for consideration 
  • Event with other shires; in spirit of inking/drinking/scribing/imbibing - and Fibering. Gunnar would teach jewelry, Arthur would teach leathercrafting. Thinking September/October event, possibly more than a year out. 'To Dye for'?
